2. What Data We Collect

2.1 Account & Profile Data

  • Name, email, job title, department
  • Company name and domain
  • Profile photo (optional)

2.2 Operational Data

  • Meeting transcripts and recordings (max 30 days retention)
  • Documents and files you upload
  • Task lists and project information
  • Calendar events (metadata only - titles, attendees, times)
  • Onboarding assessment responses

2.3 Integration Data

From connected services (Google Drive, Notion, QuickBooks, etc.):

  • File metadata and content you authorize us to access
  • Financial data (read-only, if you connect QuickBooks)
  • Calendar availability

2.4 Voice Data

  • Audio recordings during meetings (processed via Recall.ai and Assembly.ai)
  • Voiceprints for speaker identification
  • Retained maximum 30 days, then permanently deleted

2.5 Usage & Technical Data

  • Features used, session duration, click patterns
  • Device info, IP address, browser type
  • Error logs and performance metrics

2.6 Communication Data

  • Support ticket messages
  • Feedback surveys

3. How We Use Your Data

Primary purposes:

  • Provide conversational AI that answers questions about your company
  • Transcribe meetings and extract decisions/action items
  • Generate personalized insights and summaries
  • Match tasks to team members based on skills
  • Improve wellbeing through proactive check-ins

Secondary purposes:

  • Improve the Service (automated usage analysis, not individual employee monitoring)
  • Customer support and troubleshooting
  • Security monitoring and fraud prevention
  • Legal compliance

We do NOT:

  • Sell your data to third parties
  • Train our AI models on your company data
  • Use your data for advertising
  • Monitor individual employee performance without your explicit opt-in

5. Who We Share Data With

5.1 Sub-Processors (Service Providers)

  • Supabase: Database, authentication, file storage (EU: Germany)
  • OpenRouter: AI model access (ChatGPT)
  • Google Gemini: AI model access (direct)
  • Recall.ai: Meeting bot and recording (US: West Coast)
  • Assembly.ai: Transcription and speaker diarization (US)
  • Pipedream: Third-party integrations orchestration
  • [Proprietary AI orchestration system]: Our own backend (hosted on EU servers)

All sub-processors are under contractual data protection obligations.

5.2 When Required by Law

  • Court orders, subpoenas

We do not sell, rent, or share your data with advertisers or marketing companies.


6. International Data Transfers

Primary storage: EU (Germany) via Supabase
Temporary processing: US (Recall.ai for meeting transcription)

Safeguards:

  • We rely on Recall.ai's Standard Contractual Clauses (SCCs)
  • Data minimization (only meeting audio is sent to US servers)
  • Automatic deletion after processing

UAE customers: Your data is stored in EU, with temporary US processing as described above.


7. Data Retention

8. Your Data Rights

8.1 Access & Portability

  • Request a copy of what we hold about you

8.2 Correction

  • Update your profile anytime in account settings
  • Request corrections via yannik@fvtura.com

8.3 Deletion

  • Delete your account anytime (Settings → Delete Account)
  • We'll delete all personal data within 30 days
  • Backups purged within 90 days
  • Anonymized analytics may be retained

8.4 Objection & Restriction

  • Object to processing for legitimate interests
  • Restrict processing while we investigate disputes

8.5 Withdraw Consent

  • Disconnect integrations anytime
  • Opt out of optional features

9. Data Security

Technical measures:

  • Encryption in transit (TLS 1.3) and at rest (AES-256)
  • Role-based access control
  • Regular security audits
  • Secure authentication (Supabase Auth with MFA support)

Organizational measures:

  • Limited engineer access (only for support, with logging)
  • Data processing agreements with all sub-processors
  • Incident response procedures

No system is 100% secure. We use industry-standard practices but cannot guarantee absolute security.


10. Children's Privacy

PVLSE is intended for business use by adults (18+). We do not knowingly collect data from anyone under 18. If we discover this, we'll delete the data immediately.


11. Cookies & Tracking

We use essential cookies for:

  • Session authentication
  • Preference storage (theme, language)
  • Security and fraud prevention

No third-party advertising cookies.

You can disable cookies in your browser, but this may break functionality.


12. AI & Automated Decision-Making

Our AI:

  • Generates summaries and insights
  • Recommends tasks based on skills
  • Identifies meeting patterns

No fully automated decisions that significantly affect you without human review. Company admins make final decisions about task assignments, performance, etc.


13. Changes to This Policy

We'll notify you 30 days before material changes via:

  • Email to your registered address
  • In-app notification banner

Continued use after changes = acceptance. If you disagree, you can delete your account.
